Export documents and document data

If you wish to dig deeper into your Oneflow statistics, you can export your document data in the following ways:

  • Export the entire account.
  • Export within a workspace.
  • Export within a folder.
  • Export through Global Search (all your workspaces).


What information can I see in a excel export?

When you export document data from Oneflow, you'll receive a folder that includes:

  • Folders for each of your workspaces
  • An Excel file with detailed information about your documents
  • PDF copies of your documents inside the workspace folders

Explore the tabs in your Excel file

The Excel file is packed with useful insights! It contains several tabs, each showing different types of document-related information:

  • Contracts – An overview of all your documents
  • Participants – Who is involved in each document
  • Data fields – Custom data connected to your documents
  • Products – Any product lines you've added

  • Form fields – Form inputs collected through your documents
  • Attachments – Files that were attached to the documents
  • Messages – Collaborations within the document
  • Tags – Any tags you’ve used to organize your documents

This export is a great way to get a full picture of your document activity in just one place

Export entire account (administrator only)

  1. Go to Admin > Data management
  2. Click on Export account.
  3. Tick/untick the data you wish to export and click Request export.

The system will send files to your registered email address containing all PDFs of your documents and an Excel containing more details.

INFORAMTION
To be able to export documents and data, you need to have the right role permissions.

Export per workspace (workspace role-based)

  1. Choose workspace > Go to Documents.
  2. Filter out the document you wish to extract data from (optional).
  3. Scroll down to the page bottom > Click on Export button.
  4. Tick/untick the data you wish to export > Request export.

The system will send files to your registered email address containing all PDFs of your documents and an Excel containing more details.

Export from folders (workspace role-based)

  1. Go to Documents > Choose on a folder.
  2. Filter out the document you wish to extract data from (Optional).
  3. Scroll down to the page bottom > Click on Export button.
  4. Tick/untick the data you wish to export > Request export.

The system will send files to your registered email address containing all PDFs of your documents and an Excel containing more details.

Export from global search (all your workspaces)

  1. Go to Global search.
  2. Filter out the document you wish to extract data from (Optional).
  3. Scroll down to the page bottom > Click on Export button.
  4. Tick/untick the data you wish to export > Request export.

The system will send files to your registered email address containing all PDFs of your documents and an Excel containing more details.

INFORMATION
When an export is performed, it will be visible in the audit log which user has performed the event.
