This zap automates the creation of a Oneflow contract when a candidate is moved to the Offer stage in Recruitee. The candidate will be added as an individual counterparty to the contract. Further, the link of the contract will be added as a note in candidate’s profile in Recruitee, once the contract is created. An email also can be sent to a party of choice upon contract creation.
The Zap will start-off when a candidate moved to the Offer stage in Recruitee.
- First the user is required to choose the app and the particular Event. By default these two fields are already filled in the template.
- In the second stage of the Trigger, user is required to select the Recruitee account of their choice.
Note:
- A list of already connected Recruitee accounts in the currently logged in Zapier account will be available to choose from. If the required account is not available in the drop-down list, click on the “+ Connect a new account” button to add a new Recruitee account.
- Then click on the “Continue” button to go to the Set up trigger stage.
- Next, in the Set up trigger stage, user can select the Company Account, then the Job Opening and the Job Opening Stage.
Note:
- Here when we click on the drop-down of the Job Opening, it will show a list of already created job openings in the currently selected company account. If we select one from the list, this Zap will work only for the selected job opening (Only trigger when a candidate moved to Offer stage of the particular job opening). Since this Job Opening input field is a not required one, we can leave it by not selecting any specific job opening. Then this Zap will work for every candidates who are applied for this selected company for any job role.
- In the template, by default we selected the Job Opening Stage as ‘Offer’. If the user wants to change it to another stage, user can choose that one from the drop-down list.
- Then click on the “Continue” button to go to the next stage or click on the “Refresh fields” to reset the fields.
Then the first action is Create Contract in Oneflow.
- For that one, user needs to choose the app as Oneflow and the Event as the Create Contract. By default these two fields are already filled in the template.
- In the Choose account stage, user required to select a Oneflow account of their choice.
Note:
- A list of already connected Oneflow accounts(If you have multiple accounts) in the currently logged in Zapier account will be available to choose form. If the required account is not available in the drop-down list, click on the “+ Connect a new account” button to add a new Oneflow account.
- In the Set up action stage, user can select the particular data for the Create Contract as, Workspace, and Template fields and, by default the Contract Name field filled to a format with the Job title and the Candidate Name. If you wants to change the format of the Contract name, you can change it as you wish.
Note:
- Available Workspace and Templates are loaded according to the data you have selected in the field "Create Contract as". Because of that, you should choose "Create Contract as" before choosing the Workspace and the Template.
The second action is Add Participant in Oneflow.
- In the choose account stage, user can select the earlier selected Oneflow account.
- In the Set up action stage, by default the Add New Participant to Contract as field selected for the template as Contract Creator. Contract ID is getting from the previous action. And the Participant Type also already selected as Individual. The other details such as Participant Name, Participant E-mail, and Participant Contact Number are mapped from Recruitee trigger. Then the Role in Contract of the participant is selected by default as Signatory.
Then the link of the contract which is already created, needs to add to the “Notes” section in candidates profile in Recruitee.
- For that, first user needs to select the earlier selected Recruitee account in the Choose account stage in the Add Note to Candidate in Recruitee action.
- Then, in the Set up action stage, user needs to select the earlier selected company account name. And, for the Candidate field, by default it is mapped in the template as Candidate Id from the Recruitee trigger.
- For the note, in the template Text field we have added one sample note including with the link to the contract for your easiness. You can change that format as you wish.
- Other input field we can keep as it is with the default option. Then you can click Continue.
Last step is sending an email about the contract creation.
- In this step, we’ll send an outbound email regarding the contract creation with the contract link.
- Here user can select the To email. For that input field, user can add up to five emails with comma separate.
- The Subject of the email is already put in the template by default. You can change it as you wish. Candidate name and Job Title are mapped from the Recruitee trigger.
- For the Body of the email, we have put a sample content including the link to the contract.
- User can select the other input fields on their preference.
Note:
- Make sure to fill in all the required fields in the Zap. Because, in any case missing the mandatory field from any task will make the Zap runs fail.
