Data fields

When creating a contract, the Pipedrive integration is designed to transfer a fixed set of Pipedrive fields from Pipedrive to Oneflow. 

To transfer data from Pipedrive to Oneflow, you need to use the data fields feature on the Oneflow integration settings page. This enables you to set up the Pipedrive fields you want to see in the Oneflow contract.

Note:
  • You need Pipedrive and Oneflow administrative privileges to set up the data field feature. After this feature is set up, the newly added data fields will be available to all Oneflow users of the account.

Set up data field mapping

To configure data fields, you need to follow the steps described below:

  1. Log in to Pipedrive as an administrator.
  2. Open any deal, organization, or person in Pipedrive.
  3. From the Oneflow widget, click on the three dots icon, then select Oneflow settings.
  4. Click on the Data Fields tab.
    All the existing data field mappings will be displayed on this page. You will get an empty table if you have not set any mappings yet. You can edit the list as required.
  5. To add a new data field mapping, click the Add data field button.
  6. A new data field mapping row will appear, where you need to set three values: Object, Data field, and Oneflow Label.
    Note:
    Please note that all three values are mandatory for mapping a field.
    Object - Select one Pipedrive object from this dropdown whose field you want to map.
    Information:
    The Oneflow app currently supports four Pipedrive objects: Deal, Person, Organization, and Product.
    Data field - Select an object field (attribute) that you want to transfer to Oneflow. The list of fields will differ depending on the selected object.
    You can also map custom fields of objects in Pipedrive. See Mapping custom fields to learn more.
    Information:
    Pipedrive fields belonging to the following types are currently supported: Text, Large text, Autocomplete, Numerical, Monetary, Phone, Date, Date range, Address, and User.
    Oneflow label - The name of the data field in Oneflow. This label will appear in the Oneflow contract or template in the list of data fields. You can choose any name for this as an administrator.
    Note:
    Each Oneflow label has to be unique for each Oneflow account. I.e., two data field mappings cannot have the same Oneflow label.
  7. After adding the required data fields, click on the Sync button to sync the data fields with Oneflow.
Note:
  • You can have up to 150 data field mappings (i.e. Linkages between Pipedrive fields and Oneflow data fields).
  • Pipedrive attributes relating to Product and Person objects will take up three data fields in the Oneflow contract corresponding to three instances of Products or People that can be added.

    I.e. Assume you wish to add the names of three people in your Pipedrive deal to your Oneflow contract. If the object is set to Person, and the Pipedrive data field "Name" is mapped, then the data fields in Oneflow are represented as Person 1 Name, Person 2 Name, and Person 3 Name.

Mapping custom fields

  1. Navigate to Personal preferences > Data fields in Pipedrive.
  2. Add a custom field to a Lead/deal, Person, Organization, or Product by clicking the + Custom field button.
  3. Navigate back to the Oneflow settings page in Pipedrive, select the Data Fields tab, complete the mapping for the custom field, and click Sync.

    • Object: Select the object you added the custom field to (Deal, Person, Organization, or Product).
    • Data field: Select the custom field you added.
    • Oneflow label: Enter a name for this data field in Oneflow.

How to use data fields

After setting up the data field mapping in Pipedrive, let's look at how to transfer these fields to Oneflow while creating the contract. In this chapter, we'll consider an example with the Country custom field created for the Organization object in your Pipedrive account.

Please, follow the steps below to transfer a custom field to your Oneflow contract:

  1. Make sure your custom field is set up correctly as described in the Set up data field mapping chapter above.
  2. Log in to your Oneflow account as a simple user and navigate to the template where you want to use the custom Pipedrive field.
  3. In the template, go to the field where you want to place your custom field and click the Data field icon. Before creating the contract, please ensure that the Country value exists in Pipedrive; otherwise, you will receive an empty data field in Oneflow. In our example, we need to check if the organization country(organization_country) exists.
  4. Go to the Pipedrive deal, organization, or person from which you want to create a contract and click the Organization name.
  5. Make sure the country is available for your organization:
  6. Now that you have ensured that the custom field value exists navigate to the Oneflow widget in the deal, organization, or person from which you wish to create the contract, then click on Create contract.
    Please refer to the Getting started with Pipedrive article to learn more about creating contracts in Pipedrive. Select the template where you have mapped the field from Pipedrive and create the contract with the required participants.
  7. Verify if your custom field value is populated to the contract at the desired location (in our example, the Organization_Country).

Delete data fields

Note:
To delete a data field mapping, you need to have administrative privileges.

To delete a field mapping that already exists, follow the steps below:

  1. Log in to Pipedrive as an administrator.
  2. Open any deal, organization, or person and on the Oneflow widget, click the three dots icon, select Oneflow settings, and go to the Data Fields tab.
  3. Click on the bin icon next to the data field you want to delete, then confirm by clicking the Delete button in the prompt.
  4. When confirmed, click the Sync button to apply your changes.
