Map HubSpot properties to Oneflow data fields

Any property of a HubSpot object like a Deal, Company, or Contact, can be mapped (linked) to a data field in a Oneflow contract. The default behavior of Oneflow's HubSpot integration is to map and transfer a fixed set of HubSpot properties to Oneflow as data fields whenever you create a contract from HubSpot.

However, you can map and sync additional HubSpot properties to Oneflow’s data fields via the Two-way sync functionality. To do this, you’ll need to select which HubSpot property will be mapped to which data field in Oneflow.

Note:

You’ll need HubSpot administrative privileges to configure data fields using Two-way sync. Once configured, the additional properties will be available to all Oneflow users of the account.

Map properties to data fields

To map HubSpot properties to data fields in Oneflow, perform the steps described below:

  1. Log in to HubSpot as an administrator.
  2. Navigate to a Deal, Contact, or Company.
  3. Click on Settings in the Oneflow pane. 
  4. Select the Two-way Sync & mapping tab.
  5. Click on the + Add new property button.

    A new field mapping row will appear, where you'll need to set three values: Object, Property, and Oneflow label.

    Note:

    Please note that all three values are mandatory for mapping a property.

  6. Select the HubSpot object (whose property you want to map) from the first dropdown. I.e. This can be a: 
    • Deal
    • Company
    • Contact
    • Ticket
    • Quote
  7. Select a property from the second dropdown. (i.e. the HubSpot property to be mapped). 
    The list of properties will differ depending on the selected object.

    Using the Search feature:

    Click on the search icon and start typing the name of any object, property, or Oneflow label in the text field*. The table will be filtered to match your search. 

    *Enter a minimum of three characters to start searching for matches.

  8. Type in a name (Oneflow Label) for the Oneflow data field in the text field (to which the HubSpot property is mapped). This label will appear in the Oneflow contract or template. 
    By default, this text box will be populated by Objectname_propertyname; however, you can choose any name as an administrator.

    Note:

    Each Oneflow label mapped to a HubSpot property has to be unique, i.e., two property mappings cannot share the same Oneflow label name.

  9. Select your preferred sync direction options for each property by ticking the relevant checkboxes (HubSpot to Oneflow, Oneflow to HubSpot, or both).
    Note: To learn more about sync directions, see Two-way sync.
  10. Click on Save Changes.

Note:

  • If you have linked Ticket or Quote properties to data fields in Oneflow, your HubSpot object should have only one ticket or quote associated with it. If multiple tickets or quotes exist, no data would be transferred from HubSpot to Oneflow.
  • Oneflow supports mapping the data fields of three participantsin a contract to their HubSpot Contact properties.
    • Thus, when sending properties from HubSpot to Oneflow, only data fields associated with the first three participants in a contract are updated with their corresponding Contact property values in HubSpot.
    • Postfixes like "1, 2, and 3" are displayed in participant data field labels in Oneflow based on their position in the contract. (i.e. data fields called 'Contact_Name 1', 'Phone_1, etc. are associated with Participant 1 and are mapped to the corresponding HubSpot contact).

Property mapping in Oneflow

After mapping HubSpot properties with Oneflow data fields, let’s see how to transfer these values to Oneflow while creating a contract. This section is based on an example where a HubSpot Company property called ‘Org no’ is mapped to a Oneflow data field called 'Company Org no' (To learn how to create a custom property in HubSpot, see Create and edit properties).

Perform the steps below to transfer a HubSpot property to a data field in your Oneflow contract. 

  1. Make sure you’ve successfully mapped the HubSpot properties with the data fields in Oneflow as specified in the previous section. 
  2. Log in to your Oneflow account (as a normal user).  
  3. Navigate to a template and ensure that its template group is set to 'Hubspot'.
    Note: If the template group property isn't set to Hubspot, select 'Hubspot' from the template group dropdown in the Settings pane.
  4. Make a note of the template name as you'll need this information later in Step 11 of this guide.
  5. In the template, move the cursor to the point where you want to place the data field and click the Data field icon.
  6. Select the data field from the dropdown list.
    Before creating a contract with the template, please make sure the property you are trying to get from HubSpot contains a value (Org no in our example); otherwise, you will receive an empty data field in Oneflow. In our example, we need to check if a 'Company organization number' exists. 
  7. Go to the HubSpot deal from which you want to create a contract and click on the company name.
  8. Make sure the Org no property contains a value:
  9. Now that you have ensured that the custom field value exists, navigate to the Oneflow widget in the deal where you want to create the contract and click on Create contract
  10. Enter a name for your contract in the Contract Name text field.
  11. From the Template dropdown, select the HubSpot template you configured in Oneflow (in Step 4).
  12. Select the checkboxes corresponding to the contacts (participants) you want to add to the contract.

  13. Click on Create Contract to confirm.
  14. Click Navigate to contract
  15. Verify if the HubSpot property value is populated in the Oneflow contract (in our example, the Organization number). 

Delete property mappings

If you wish to remove a HubSpot property mapped to a Oneflow data field you can do this using the Oneflow integration Settings panel in HubSpot.

Note:

You'll need administrator rights to delete property mappings.

To delete property mappings, follow the steps below:

  1. Log in to HubSpot as an administrator.
  2. Navigate to a Deal, Contact, or Company.
  3. Click on Settings in the Oneflow pane.
  4. Select the Two-way Sync & mapping tab.
  5. Click on the bin icon against the property mapping you wish to delete.
  6. Click Delete in the prompt that appears.
  7. Click the Save Changes button to apply your changes.
