AI Review & Insights is a powerful feature designed to help you proactively monitor, review, and manage risks in your documents directly within your workspace! Together, they provide both document-level guidance and workspace-wide visibility into potential risks and areas for improvement.
Meanwhile, all documents in an enabled workspace are continuously monitored for issues and risks from the moment they enter are sent. The results are presented in interactive graphs under the AI Insights tab, offering a clear, actionable view of your document portfolio’s risks to help you identify potential issues and patterns across your contracts.
The Playbook
At the centre of AI Review & Insights is the Playbook: A set of best practices that you define at the workspace level to help guide the analysis of your documents. Each playbook is made up of a number of Concepts that the AI will look for and assess within your documents, such as the Payment Term, the Governing Law, etc.
AI Review & Insights analyze your documents using the playbook assigned to your workspace, offering focused feedback on the key concepts defined in that playbook. The feature ensures that important concepts are properly covered, not just in individual documents, but consistently across workspaces where you have enabled the feature.
NOTE Since Playbooks will differ based on the nature of the documents to analyse (Sales, Procurement, NDA, etc.) and every Playbook is specific to a workspace, we recommend that you organise your documents in thematic workspaces in order to get the most value out of this feature.
Enable and set up AI Review & Insights
To start using AI Review & Insights, the feature must firstly be enabled in the Marketplace, and then within each workspace where you want to use it.
After enabling the feature on a workspace-level, you need to select and configure a playbook, which defines the key concepts that documents will be reviewed against using AI Insights.
Enable AI Review & Insights in Marketplace (administrator only)
- Go to Marketplace.
- Click on the AI Review & Insights card.
- Click on Enable to the top-right and also in the pop-up window to activate this feature.
Set up AI Review in workspace
- Go to to Admin > Workspaces.
- Click the three dots next to the workspace where you want to activate AI Review and click Set up AI Review.
- You will be redirected to the AI Review tab in workspace settings.
- Click on Enable to open the playbook setup dialog for the workspace.
Set up a playbook for your workspace
IMPORTANT The Playbook is a set of internal guidelines designed to help ensure your documents align with company best practices. AI Review & Insights use this playbook as the foundation for analysis.
- Choose a pre-set playbook that matches the focus of your workspace. Options include: Sales, Sourcing and NDA.
If you require a tailored solution, click Request access under "Custom" title. You’ll be redirected to a contact form to reach out to our Sales team. - Fill in the required configuration information for the modifiable concepts.
At the bottom of the playbook setup, you will notice concepts that cannot be modified. These concepts are fixed and are automatically checked by the AI Review feature.
Configure Workspace Role Permissions
To access AI Review & Insights, users need the correct permissions enabled in their workspace role.
The following permissions must be activated:
- Access AI Insights dashboard.
- Access AI Review for individual documents.
Even if AI Insights is not enabled in the workspace, users will still see the AI Insights tab. However, no information will be visible unless the feature is first enabled in both the Marketplace and the workspace, and the user has the correct permissions to access it.
How to Use AI Review on your Documents
You can access the AI Review feature at any point during your document’s lifecycle to get automated insights and recommendations.
Documents with the status Draft are not automatically reviewed by AI. However, you can still review with AI by accessing AI Review manually.
You can manually access AI Review in two ways:
From the Document archive
- Go to Documents.
- Click on the action menu to the right of the document.
- Select AI Review from the action menu.
From inside the open document
- Open your document.
- Click on the action menu in the top-right corner.
- Select AI Review from the action menu.
For documents that have already been sent and have entered the Pending state and onward, any issues or risks automatically identified by AI Review can be easily viewed in the document archive.
- Go to Documents.
- Click on the red or yellow label displayed underneath the document title. Red labels indicate issues that may require immediate attention. Yellow labels indicate potential risks or suggestions for improvement.
This will open a detailed view showing the identified findings, allowing you to review and take action if needed.
Inside AI Review
When you open AI Review, you’re taken straight to the View Document tab in the upper right, which serves as the overview for potential issues (highlighted in red) and risks (highlighted in yellow). This view helps you quickly understand what may need attention. Information highlighted in blue is good to know but is neither an issue nor a risk.
You can easily navigate between highlighted text using the Next and Previous buttons located on the right side of the document's content, making it simple to review and act directly.
Each highlighted text comes with an information box to the left of the issue or risk. This box shows which concept from your configured playbook the highlighted text relates to and includes two clickable guidance tabs: What to do and Example clause.
- The What to do tab explains the issue or risk, provides guidance on how to address it, and includes a generic text suggestion to help you revise the content.
- The Example clause tab provides another generic text suggestion that aligns with your playbook concept, making it easier to rewrite the section in accordance with your guidelines.
NOTE If you’d like to adjust the wording in the guidance tabs (e.g. “What to do” or “Example clause”), please contact Sales. They can help tailor the setup or wording to better match your preferences.
The second tab is called Missing concepts. This tab lists the concepts that are defined in your playbook but are not found in the document. It helps you identify gaps and ensure that all expected concepts are present and aligned with your playbook.
AI Insights
AI Insights monitors and reviews all documents in your enabled workspace from the moment they have been sent. It visualizes the analysis in interactive graphs, giving you a detailed overview of risks of your document portfolio. One graph will be generated per concept defined in the selected playbook.
Access AI Insights
- Go to Documents > click on AI Insights.
AI Insights overview
In AI Insights, you’ll first see a general chart for Total issues that provides an overview of all documents, showing which documents contain issues and which do not. For quick access, you can click Show documents with issues under the chart to open a list of relevant documents directly within the same view.
Below this overview, you’ll find interactive graphs and charts for each concept defined in your playbook. If you want to review documents with issues related to a specific concept (e.g. Payment terms, Governing law, etc.), you can simply click on that row to open a filtered list of documents with issues linked to that concept.
To the right of the charts, you’ll also see the Guidelines used by AI Insights to monitor and evaluate your documents. These guidelines provide a clear reference for understanding how the content is reviewed and highlighted for potential issues.
Additional Notes
- AI Review can analyze documents of any kind, including PDFs and even attached PDF-files.
- You can filter the AI Insights view using the filters on the left, based on document status and lifecycle stage for a more tailored overview.
