Electronic IDs

Electronic IDs (eIDs) add an extra layer of security when signing documents. They allow you and your counterparties to confirm your identity in a simple and reliable way.

What are Electronic ID Signatures?

Electronic ID signatures in Oneflow include signature levels: Advanced (AdES) and Qualified (QES). These levels define how strongly a participant’s identity is verified.

Advanced Electronic Signatures (AdES)
Requires verified identity through national eID services like MitID, or FTN. Suitable for most business agreements.

Qualified Electronic Signatures (QES)
Offers the highest legal value. Issued with a qualified certificate by a certified trust service. Often used for regulated agreements (e.g., government or financial contracts).

How eID services are used

There are two distinct methods for enabling electronic identification (E-ID): Standalone and E-ID Hub. The flexibility of our system allows you to activate both options as needed.

Electronic ID - Stand alone

When using the standalone method, participants will be required to sign documents using the signing method you specify. You have the flexibility to choose from four different signing methods, and the selected method will determine how the participant can sign the document.

Swedish BankID is only available via the stand alone method.

Stand-alone eID services will be moved under the eID Hub in the future.

Electronic ID - E-ID HUB

With the E-ID hub method, you have the flexibility to decide which signing methods will be accessible to your participants. When a participant is ready to sign, they will be presented with a list of Electronic IDs to choose from. This allows them to select their own preferred Electronic ID for signing.

Enable Electronic IDs

  1. Go to Marketplace.
  2. Scroll to Electronic IDs and make sure it's enabled.
  3. Choose which electronic IDs you want to activate.

Using QES

QES can only be used if it is enabled on the template.

To access Signature mode: Qualified in template, you must have at least one Qualified Signature activated in the Marketplace.

GOOD TO KNOW

  • It is not possible to use QES with other signature levels in the same document. SES and AdES can be combined.
  • It is not possible to change the signature level after sending a document. The signature level is determined at the time the document is created. To use a different level, you’ll need to create a new document from a template with the desired signing method.
  • It is not possible to use QES with the feature Document Signature Fields.

Select eIDs as the default signing method in Template

This is how you select to use Electronic IDs as the default sign method on a template.

  1. Go to Templates > Open a template.
  2. Go to Settings > Open Signing and security > choose signature mode > choose Signing method for counterparties in the dropdown list and choose the electronic ID you want to use.

QES cannot be used when creating a new document from blank.
It is only available as a signing method when the document is created from a template that has QES specifically configured.

Customize setting options on template level

Within Oneflow you have the power to customize the signing methods on template level.

For example, if you have multiple signing methods activated on your account, such as Swedish Bank ID, SMS, handwritten signatures, and standard e-signatures, you can selectively enable specific methods and delivery channels, ensuring that, for instance, only Swedish Bank ID and handwritten signatures are available for all documents generated from a particular template.

NOTE
Signature mode: Basic
Use this mode when you want participants to sign using either an Advanced Electronic Signature (AdES) or a Standard e-signature.

Signature mode: Qualified
Use this mode when you want participants to sign using a Qualified Electronic Signature (QES). 

Select eIDs as sign method for a participant

If you prefer not to have the default setting as Electronic ID on a template, you have the option to select the signing method for individual documents, customizing it to suit your needs.

  1. Create a new document.
  2. Add a participant and choose a electronic ID as the sign method.
  3. Confirm and send!
