This article explains how to use data fields with the Ipool – Oneflow integration. Data fields are placeholders in your Oneflow templates, such as an employee's name. When you create a document from Ipool, these fields are automatically filled with information from Ipool.

REQUIREMENTS

  • The Ipool integration must be connected and active.
  • Your template's playbook must be connected to the relevant Ipool integration blueprint.
  • All fields from that blueprint must be included in the playbook, even if your template does not use every field.

INFORMATION

Keep all Ipool blueprint fields in the connected playbook. If a field is missing, Oneflow cannot create the document. You only need to insert the fields you want to display in the template.

Playbooks

Connecting Ipool adds two integration blueprints to your Oneflow account:

  • Ipool – Anställning – For employee documents.
  • Ipool – Kund – For customer documents.

Connect each blueprint to its own playbook and add all of its fields. The playbook's data fields are then linked to Ipool's fields and ready to use in your templates.

In Oneflow

Create and Connect Your Playbooks

  1. Once Ipool is connected, go to Admin → Playbooks and click Create playbook.
  2. Enter a name, such as Employment contracts, and click Confirm.
  3. Open the Connected integrations tab and click Connect an integration blueprint.
  4. Under Connected blueprint, select Ipool – Anställning.
  5. Under Add fields automatically from this blueprint, select Add all fields from the blueprint.
  6. Leave Add future fields automatically from this blueprint at its default setting so that fields added in newer versions of Ipool are also added to your playbook.
  7. Click Confirm.
  8. Create a second playbook, such as Customer agreements, and repeat the steps above, selecting Ipool – Kund as the connected blueprint.

Add Data Fields to Your Template

  1. Open the Oneflow template you want to populate with information from Ipool.
  2. Click the Data fields icon in the side panel.
  3. Under Select playbook, choose the playbook connected to the relevant Ipool blueprint.
  4. In a text section, place your cursor where you want the information to appear.
  5. In the toolbar, click More, then Insert data-field.
  6. Select a field, such as Anställd – Namn (the employee's name), and click Confirm.
  7. Repeat for each field you want to display, then click Save and Publish.

When you create a document from Ipool using this template, the inserted data fields are filled with information from Ipool.

Check Your Playbook Connections

  1. After creating the playbooks in Oneflow, return to Settings (Inställningar) → Integrations (Integrationer) → Oneflow in Ipool.
  2. Reopen the page and check Templates in Oneflow (Mallar i Oneflow).
  3. Check that each blueprint shows its connected playbook.
  4. If a row says Not added to a playbook yet (Inte tillagd i någon playbook än), return to Admin → Playbooks in Oneflow and complete the connection steps above for that blueprint.

Available Data Fields

You can view all Ipool fields and their descriptions in your Oneflow template's Data fields panel or under Admin → Playbooks → your playbook → Data fields.

The first part of each field name identifies whose information it contains:

  • Anställd – The employee.
  • Anställning – The employment selected under Fill from employment (Fyll i från anställning). These fields are empty if you select No employment (Ingen anställning).
  • Personalansvarig – The employee's personnel manager at your company.
  • Kund – The customer.
  • Kundkontakt – The customer's contact person who signs the document.
  • Kundansvarig – The customer's account manager at your company.
  • Vårt bolag – Your own company.

How Field Values Are Displayed

  • Dates: YYYY-MM-DD, for example 2026-03-01.
  • Amounts: Two decimal places with a decimal comma, for example 32 500,00.
  • Percentages and hours: A decimal comma when needed, for example 37,5.
  • Countries: Full country names. Sweden is displayed as Sverige; other countries are displayed in English, for example Norway.
  • Missing information: If Ipool has no value for a field, the field is empty. Check the draft for empty fields before sending it.

Add New Fields and Update Field Names

New versions of Ipool may introduce additional data fields. An Ipool administrator can check for updates under Settings (Inställningar) → Integrations (Integrationer) → Oneflow.

  1. Check whether Ipool reports any fields missing in Oneflow.
  2. If fields are missing, click Add what is missing (Lägg till det som saknas). Ipool adds the new fields to its blueprint in Oneflow.
  3. If you kept the default setting for Add future fields automatically from this blueprint, Oneflow also adds the new fields to your playbook.
  4. If Ipool reports that fields have outdated names, click Update the field names (Uppdatera fältnamnen).

Ipool never removes a field, so existing templates keep working.

Troubleshooting

  • A blueprint is not connected to a playbook: If Ipool shows Not added to a playbook yet, complete the playbook connection steps in Oneflow for the relevant blueprint.
  • A document cannot be created because a data field is missing: Ask a Oneflow administrator to add the missing field under Admin → Playbooks → the relevant playbook → Data fields. Keep all blueprint fields in the playbook, including fields that are not displayed in your template.
  • New fields are missing: In Ipool's Oneflow integration settings, click Add what is missing and check that the new fields are included in the connected playbook.
  • Employment fields are empty: Check whether No employment is selected under Fill from employment.
  • Another field is empty: Check that Ipool contains the relevant information and review the draft before sending it.
