Get started with Oneflow for Microsoft Teams

Get contract updates and deadline reminders in Microsoft Teams. Read a contract summary in Teams, then open the contract in Oneflow to take action.

BEFORE YOU START 

  • Make sure your Oneflow user account is active.
  • Use the same email address for Oneflow and Microsoft Teams.
  • Ask your Teams administrator to allow the Oneflow app if your company restricts app access.

Your Oneflow administrator must set up the integration for your company. Each user must then connect their own account in Teams.

Set up the integration as an administrator

  1. Sign in to Oneflow as an administrator.
  2. Go to Marketplace and select Microsoft Teams.
  3. Select Enable if the integration is not enabled.
  4. Select Setup. The Oneflow app page opens in Teams.
  5. Follow the steps under Connect your account in Teams below.

Connect your account in Teams

Follow these steps after your Oneflow administrator has set up the integration.

  1. In Teams, select Apps and search for Oneflow. If the Oneflow app page is already open, continue to step 2.
  2. Select the Oneflow app, then select Add. If the app is already installed, open the app.
  3. Open your personal chat with Oneflow.
  4. In the welcome message, select Connect your account.
  5. Complete the Microsoft sign-in steps. Review and accept the permission request when prompted.
  6. Check for the You’re all set message. Your Oneflow account is now connected to Teams.

If you see Admin access required, ask your Oneflow administrator to complete the setup. Then select Try again.

Notifications and reminders in Microsoft Teams

After you connect your account, open your personal chat with Oneflow to read contract updates.

Which contracts do you receive updates for?

You receive updates for contracts where you are a participant on your company’s side. Your Oneflow user account must be active and connected to Teams.

Other connected participants on your company’s side also receive updates. Being an administrator or having access to a workspace does not, by itself, add you to the notification list.

Contract updates

Update What happened
Sent Someone sent the contract and invited participants. The message starts with Invited participants.
Signed All required signers signed the contract, or someone marked the contract as signed.
Declined A participant declined the contract, or someone marked the contract as declined.
Overdue The signing deadline passed. The signing period must be extended in Oneflow before anyone can sign.

Deadline reminders

Reminder What the reminder tells you
Signing period is about to expire The deadline for signing the contract is near.
Contract period is about to end The contract period will end without automatic renewal.
New contract period is about to be entered The contract is about to enter its next period.

Teams receives reminders from Oneflow. Set the signing deadline and contract period in Oneflow. Teams has no separate controls for reminder timing or notification types.

View contract details

Each notification includes a summary with the contract name, status, participants, contract ID, and workspace. The date shown depends on the update.

  1. Open the notification in your Oneflow chat.
  2. Select Show participants to expand the participant list.
  3. Check each participant’s signing status or role. The list also shows contract views and failed invitations when available.
  4. Select Hide participants to close the list.

Counterparties lists the people or companies on the other side of the contract.

Open the contract in Oneflow

Select Go to document in the notification. The contract opens in Oneflow.

The Teams summary is read-only and reflects the details received when the notification was sent. Open Oneflow to check the latest details or make changes.

You cannot create, edit, approve, or sign contracts in the Teams app. Channel notifications are not supported.

Use chat commands

Type a command in your personal chat with Oneflow, then press Enter. Use the spelling below, without a slash.

Command Action
signin Start sign-in or check your Oneflow connection.
signout Sign out of the Microsoft connection used by the Oneflow app.
commands Show the available commands.

The app responds to these commands and its buttons. It does not answer questions typed into the chat.

Troubleshooting Oneflow for Microsoft Teams

You cannot find or add Oneflow in Teams

Ask your Teams administrator to check whether the Oneflow app is available and allowed for your company.

You see an account or setup message

Message What to do
Oneflow account required Check that your Teams and Oneflow email addresses match. If your company uses Oneflow, ask your administrator to check your account.
Invitation pending Open your Oneflow invitation email and accept the invitation. Return to Teams and select Try again.
Account inactive Ask your Oneflow administrator to activate your account. Then select Try again.
Admin access required Ask your Oneflow administrator to set up Microsoft Teams in Oneflow. Then select Try again.
Complete setup in Oneflow Select Open Oneflow. In Marketplace > Microsoft Teams, select Enable if needed, then Setup. Return to Teams and send signin.
Reconnect your Oneflow account Ask your Oneflow administrator to open Marketplace > Microsoft Teams and select Setup again. Enable the integration first if needed. Then send signin in Teams.

If you need a new Oneflow account, select Try Oneflow free in the account message.

Microsoft sign-in did not finish

If you see Connection not completed or Something went wrong, select Try again. Complete the Microsoft sign-in and permission steps.

If you see Microsoft sign-in required, select Sign in again.

You are connected but receive no notifications

  1. Send signin in your personal chat with Oneflow. Check for You’re all set.
  2. Check that your Oneflow user account is active and uses your Teams email address.
  3. Open the contract in Oneflow. Check that you are a participant on your company’s side.
  4. Check whether the contract had one of the supported updates or reminders after you connected.

For missing deadline reminders, also check the contract’s signing deadline and contract period in Oneflow.

You see “Command not recognized”

Select View commands, or send commands. Use lowercase commands without a slash, such as signin.

You still need help

Contact Oneflow Support. Include the message you see and the contract ID, if the issue concerns a contract. You can find the ID at the bottom of the notification.
