Smart Sync is a powerful feature for the Lime CRM integration that automatically updates records in Lime CRM with data from a Oneflow document after it has been fully signed.

This ensures that your Deal, Company, and Person information in Lime CRM always reflects the final, agreed-upon details from your signed documents, eliminating manual data entry and reducing errors.

Prerequisites

Here is what you need to use Smart Sync:

  • Active Lime CRM integration: The Oneflow for Lime CRM integration must be installed and enabled in your Oneflow account.
  • Configured data fields: You must have already set up your property-to-data field mappings. Smart Sync uses these mappings to send data to the correct fields in Lime CRM.
  • Oneflow template setup: Your Oneflow template should include the data fields that will be synced.
  • Administrator privileges: You must have administrator permissions in your Oneflow account to enable and configure Smart Sync.

Enable Smart Sync

NOTE

You must be an administrator in Oneflow to enable or disable Smart Sync.

  1. In Oneflow, navigate to the Marketplace.
  2. Click on Lime CRM, then click Setup.

  3. Select the Configure Lime CRM tab.
  4. Under 'Data field configuration', click the Smart Sync toggle to enable it.

  5. A confirmation window will appear. Click Enable to activate Smart Sync.

INFORMATION

Once enabled, a success notification will confirm that changes to Oneflow data fields will sync to Lime CRM after a document is fully signed. You can disable the feature at any time by clicking the same toggle.

How Smart Sync works

Smart Sync relies on the Data field configuration settings to function. The mappings you define in this section tell Oneflow exactly which field in Lime CRM should be updated by which field from your Oneflow document.

The workflow

  1. Prerequisite: You must have your Data field configuration set up. In the example image above, the first mapping shows the Oneflow field Deal_value mapped to the Value property of the Deal object in Lime CRM.
  2. Create Oneflow document: You create a Oneflow document from a deal in Lime CRM.
  3. Update data: During the negotiation, participants fill in or edit data fields within the Oneflow document (like changing a billing address, adding a reference person, or updating a value).
  4. Oneflow document is fully signed: All participants sign the document in Oneflow.
  5. Smart Sync automatically activates: Once the document is fully signed, Smart Sync automatically triggers. It takes the data from the Oneflow fields (e.g., Deal_value) and pushes it back to the mapped fields in Lime CRM (e.g., Deal > Value), updating the record.

You can verify that Smart Sync has worked by viewing the Activities tab of the Lime CRM record (Deal, Company, or Person) that the Oneflow document is associated with.

After a document is signed, you will see new entries in the activity feed:

  • Smart Sync was completed: This confirms the sync was successful.
  • Updated fields: Lists which Lime CRM fields were successfully updated and their new values.
  • Fields not updated: It will also show any fields that failed to update due to an exception (like when a data type mismatch occurs).

You can then navigate to the main details tab for that record to see the updated information live in your Lime CRM fields.

Additionally, if a field related to a linked Company or Person object is correctly updated, the related details will appear as a comment in the activity log of the main Deal object as well.

Limitations

  • One-way sync: Smart Sync is a one-way data transfer, from Oneflow to Lime CRM. It does not pull data from Lime CRM back to Oneflow after the contract is created.
  • Trigger event: Sync from Oneflow to Lime CRM only happens when a Oneflow document is fully signed by all parties.
  • Product table: Smart Sync does not support updating the product table (or any other list objects) in Lime CRM. Only fields directly on the Deal, Company, and Person objects are supported.
