This article explains how to use data fields with the Zapier – Oneflow integration. Data fields allow you to populate Oneflow contracts with information from another app in your Zap when the contract is created.

REQUIREMENTS

  • Create a playbook in Oneflow and add the data fields you want to use.
  • Assign that playbook to your Oneflow template.
  • Insert the data fields into your template and publish it.
  • Use the Create contract in Oneflow action in your Zap and select the template you prepared.

INFORMATION

✅ This integration DOES support custom data fields.

Create your data fields in a Oneflow playbook, then map values from your Zap to those fields. The values are assigned when the Zap creates the Oneflow contract.

Playbooks

Data fields are created inside playbooks in Oneflow. A group can contain multiple data fields, which are available to every template assigned to that group.

For Zapier, create a playbook for the data fields you need and assign it to your Oneflow template. When your Zap creates a contract from that template, it can populate the fields with mapped values.

In Oneflow

Create a Playbook

  1. Go to Admin → Playbooks.
  2. Click + Create playbook.
  3. Enter a name and description, then click Confirm.

Add Custom Data Fields

  1. Open your playbook.
  2. Select the Data Fields tab.
  3. Click + Add a data field.
  4. Enter a name for the field, then click Confirm.
  5. Repeat for each data field you want to use.

Assign the Playbook to Your Template

  1. Click Templates in the side panel.
  2. Open an existing template, select one from the Template Library, or create a new one.
  3. Give your template a recognizable name.
  4. Click the Data fields icon in the side panel.
  5. From the Playbooks dropdown, select the group you created.
  6. Save the template.

Add Data Fields to a Text Section

  1. If needed, click + Add content and add a Text and image section.
  2. Place your cursor where you want the data field to appear.
  3. Click the Insert data field icon.
  4. Select the field from the Data Field dropdown.
  5. Click Confirm.
  6. Repeat for each field you want to insert.

Add Data Fields to a Form Section

  1. Add a Form section if your template does not already have one.
  2. Click a form field to edit its name and settings.
  3. From the Data field dropdown, select the field from your playbook that you want to link.
  4. Click Save.
  5. To add another row or customize the form options, click the cog icon next to the form section.
  6. Repeat for each field you want to link.

When you have finished adding data fields, Save and Publish your template.

In Zapier

Map Values to Your Oneflow Data Fields

  1. Open or create your Zap.
  2. In the Create contract in Oneflow action, select your published Oneflow template from the Templates dropdown.
  3. In How many data fields do you need to map while creating the contract?, enter the number of fields you want to map.
  4. In Custom ID of field n, select the Oneflow data field from the dropdown.
  5. In Value of field n, select the value to assign to that field. This can come from the trigger app in your Zap.
  6. Repeat the field and value selections for each data field you want to map.

When the Zap creates a contract, the mapped values populate the corresponding Oneflow data fields.

Example

You can map the HubSpot property Deal amount to a Oneflow data field named Deal_amount. When the Zap creates the contract, the mapped HubSpot value is assigned to that field in Oneflow.

Troubleshooting

  • Your data fields are not listed in Zapier: Check that the selected Oneflow template is assigned to the playbook containing your fields.
  • A value is mapped to the wrong field: Review the pairing of Custom ID of field n and Value of field n in the Oneflow action.
  • Not all fields are mapped: Check the number entered in How many data fields do you need to map while creating the contract? and configure each field and value pair.
