Template: Convert new OneDrive PDF files into Oneflow contracts and email them via Microsoft Outlook (Zapier)

This Zap creates Oneflow contracts whenever a file is uploaded to a folder in OneDrive.

1. Trigger: New file in OneDrive

The Zap triggers whenever a new file is uploaded to a folder in the connected OneDrive account.

App & event

  • Select OneDrive as the app.
  • Event: Select New File in Folder.

Choose account

  • OneDrive account: Select your connected OneDrive account.
    • The dropdown displays connected Microsoft accounts.
    • If the required account isn't listed, click + Connect a new account.

Set up trigger

  • Folder: Select the folder in OneDrive to monitor for file uploads.
    • Navigate through the folder tree using the dropdown next to each folder name.
  • Include file contents: Set this to No if your file size exceeds 100MB.

2. Filter: Filter files by type

This step filters files according to specific conditions.

You can customize the default filters or click Continue to proceed to the next action.

  • Only continue if...
    • Name (text ends with): .pdf (default)
    • The Zap continues only if the uploaded file is a PDF.
    • You can modify these filters to use different criteria.

3. Action: Create contract in Oneflow

This step creates a new contract in Oneflow using the uploaded file from OneDrive.

App & event

  • Select Oneflow as the app.
  • Event: Select Create Contract.

Choose account

  • Oneflow account: Select your connected Oneflow account.

Set up action

  • Create contract as: Select the Oneflow user who will create the contract. The available Templates and Workspace options depend on the selected account.
  • Contract name: Defaults to the uploaded document name with the prefix "Contract". You can customize this field.
  • Workspace: Select the workspace where this contract will be created.
  • Template: Select a template from your Oneflow account.

Data fields (optional)

NOTE

  • You can map values from OneDrive fields to Oneflow data fields.
  • The selected template must belong to a template group that includes data fields created in Oneflow.
  • Learn more: Create a contract with data fields.
  • How many data fields to map: Enter the number of data fields you would like to configure (1–3).
    • The corresponding fields will appear below.
  • Custom ID of field n: Select the Oneflow data field from the dropdown (lists all data fields from the selected template).
  • Value of field n: Enter or map the value for the data field.

4. Action: Add attachment or expanded PDF in Oneflow

This step attaches the PDF from OneDrive to the Oneflow contract created in the previous step.

App & event

  • Select Oneflow as the app.
  • Event: Select Add Attachment or Expanded PDF.

WARNING

To upload the PDF from OneDrive to your Oneflow contract, the contract must have at least one attachment or expanded PDF section. Learn more: Attach documents or files.

Choose account

  • Oneflow account: Select your connected Oneflow account.

Set up action

  • Add attachments or expanded PDF as: Choose who performs this action.
    • Contract creator (default): Adds the attachment as the contract creator.
    • Another Oneflow user: Adds the attachment as another Oneflow user.
  • File name: Defaults to the OneDrive file name. You can customize this field.
  • File: Select the OneDrive file from the dropdown, or paste the public link to the OneDrive file.
    • File size must not exceed 20MB.
    • Supported file types: ASICE, KEY, RTF, BMP, NUMBERS, TIF, CSV, ODS, TIFF, DOC, PAGES, TXT, DOCX, PDF, XLS, DOTX, PNG, XLSB, GIF, PPSX, XLSM, JPEG, PPT, XLSX, JPG, PPTX, XML.
  • Contract ID: Automatically populated from the previous step (step 3).
  • Upload as: The PDF can be uploaded as an Attachment (default) or as an Expanded PDF section.

5. Action: Add participant in Oneflow

This step adds a participant to the contract.

App & event

  • Select Oneflow as the app.
  • Event: Select Add Participant.

Choose account

  • Oneflow account: Select your connected Oneflow account.

Set up action

  • Add new participant to contract as: Choose who performs this action.
    • Contract creator (default): Adds the participant as the contract creator.
    • Another Oneflow user: Adds the participant as another Oneflow user.
  • Contract ID: Automatically populated from the previous step (step 3).
  • Participant type: Choose the type of participant.
    • Individual (default): Adds an individual as a counterparty.
    • Colleague/Participant: Adds an owner-side party.
    • Company: Adds a company as a counterparty.

NOTE

The available fields vary depending on the selected participant type.

  • Party ID (if participant type is colleague): Enter a unique identifier for the legal entity to which the participant belongs.
  • Company name (if participant type is company): Enter the company name.
  • Participant name: Enter the participant's name.
  • Participant email: Enter the participant's email address.
  • Role in contract:
    • Signatory (default): The participant must sign the contract.
    • Viewer: The participant can only view the contract.

6. Action: Send email in Microsoft Outlook

This step sends an automated email notification with a link to the contract.

App & event

  • Select Microsoft Outlook as the app.
  • Event: Select Send Email.

Choose account

  • Microsoft Outlook account: Select your connected Microsoft Outlook account.

Set up action

  • To: Enter up to five email addresses separated by commas.
  • Subject: The email subject line. A default subject is provided. You can customize this field.
  • Body (HTML or Plain): The email message content. A default template includes a link to the Oneflow contract.
