This article explains how to create contracts through the Teamtailor–Oneflow integration, either automatically using a trigger or directly from a candidate's profile.

REQUIREMENTS

  • The Teamtailor–Oneflow integration must be configured.
  • The template must be published and assigned to the Teamtailor Contract Template playbook.
  • You must have permission in Oneflow to create contracts from the template.
  • At least one contract signatory must have access to the relevant Oneflow workspace.
  • The candidate's First name, Last name, Email, and Phone number must be filled in. Otherwise, Teamtailor will not send the contract to the candidate.

In Oneflow

Create a template for Teamtailor

  1. Open the workspace where you want to create contracts and go to Templates.
  2. Click Create template.
  3. Enter a template name, add the content and fields you need, and save your template.
  4. In the template settings, open the Playbook drop-down and select Teamtailor Contract Template.
  5. Publish your template.

Assign this playbook to every template you want to use in Teamtailor. To transfer candidate information automatically, link the relevant template fields to Oneflow data fields.

Review and send a draft contract

If Send contract automatically is not selected when creating the contract in Teamtailor, the contract is created as a draft in Oneflow. Open the draft in Oneflow to review and send it later.

Create a contract using a trigger

Use a trigger to create a contract automatically when a candidate moves to a specific stage in a job's recruitment process.

  1. Go to Jobs and open an existing job posting. To create a new one, click Create job, fill in the job details, and click Publish.
  2. On the job posting page, click Triggers.
  3. Click + Add trigger on the stage where you want the contract to be created, such as the stage where a candidate is offered a position.
  4. Select Create Oneflow Contract.
  5. In the Create contract window, select a template in the Template field.
  6. To send the contract to the candidate automatically, select Send contract automatically. Leave this option unselected to create a draft for review in Oneflow.
  7. To move the candidate to the next stage automatically when the contract is signed, select Move candidate when complete.
  8. Click Add Trigger.
  9. Move the candidate to the stage containing the trigger. Oneflow will create a contract for that candidate.

If both Send contract automatically and Move candidate when complete are selected, Teamtailor sends the contract to the candidate and moves the candidate to the next stage after both the candidate and the Teamtailor user have signed. For example, a candidate can move from Offered to Hired.

Create a contract from a candidate's profile

  1. Open Candidates and select the candidate.
  2. On the candidate's profile, open the actions menu (three dots) and select Oneflow.
  3. In the Oneflow section, click Create contract.
  4. In the Create contract window, select a template in the Template field.

The same sending behavior applies as when using a trigger: selecting Send contract automatically sends the contract to the candidate; leaving it unselected creates a draft in Oneflow for later review and sending.

Troubleshooting

  • The contract is not sent to the candidate: Check that the candidate's First name, Last name, Email, and Phone number are filled in. If you expected automatic sending, also check that Send contract automatically is selected.
  • You cannot create a contract: Make sure at least one contract signatory has access to the relevant Oneflow workspace and that you have permission to use the template.
  • Your template is not available: Check that it is published and assigned to the Teamtailor Contract Template playbook.
  • The candidate does not move to the next stage: Check that Move candidate when complete is selected and that both the candidate and the Teamtailor user have signed the contract.
