This article explains how to use data fields with the Pipedrive integration. Data fields allow you to automatically transfer information from Pipedrive to your Oneflow contracts.

REQUIREMENTS

  • The Pipedrive integration must be enabled in Oneflow.
  • You need administrator access in both Pipedrive and Oneflow to configure data field mappings.
  • Your Oneflow template must have the appropriate Pipedrive Playbook assigned.

INFORMATION

✅ The Pipedrive integration DOES support custom data fields.

Custom fields must be created in Pipedrive before they can be mapped to Oneflow. You cannot create new integration data fields directly from Oneflow.

Playbooks

The Pipedrive integration uses a playbook in Oneflow. The Playbook connects your Pipedrive data field configuration to your Oneflow templates.

When you assign the appropriate Pipedrive Playbook to a Oneflow template, the synchronized Pipedrive fields become available to insert into the contract.

In Pipedrive

Available data fields

You can map fields from the following Pipedrive objects:

  • Deal – Information associated with the Pipedrive deal.
  • Person – Information associated with a person or deal participant, such as a name or email address.
  • Organization – Information associated with the organization connected to the deal.
  • Product – Information associated with products added to the deal.

The available fields depend on the selected Pipedrive object. Both default and custom Pipedrive fields can be mapped to Oneflow.

Configure data field mappings

  1. Open a Deal, Organization, or Person in Pipedrive.
  2. In the Oneflow widget, click the three dots.
  3. Select Oneflow settings.
  4. Open the Data Fields tab.

The Data Fields tab displays all existing mappings. The list will be empty if no mappings have been configured.

Add a data field mapping

  1. Click Add data field.
  2. Under Object, select the relevant Pipedrive object: Deal, Person, Organization, or Product.
  3. Under Data field, select the Pipedrive field you want to transfer.
  4. Under Oneflow label, enter the name that should be displayed for the field in Oneflow.
  5. Repeat these steps for any additional fields you want to map.
  6. Click Sync to apply the changes.

IMPORTANT

  • You can configure up to 300 data field mappings.
  • Fields from the Person and Product objects can be repeated up to three times in a contract.
  • Mapped fields become available to all Oneflow users in your account after synchronization.

Person and product mappings

Pipedrive deals can contain multiple people and products. To support these records, Oneflow creates up to three numbered sets of fields when you map a Person or Product field.

For example, mapping the Name field from the Person object creates the following fields in Oneflow:

  • Person 1 Name
  • Person 2 Name
  • Person 3 Name

The value assigned to each numbered field is determined by the order of the participants in the Create contract window.

For example, if the participants appear in this order:

  1. Amanda Payne
  2. Jane Smith
  3. Sam Jones

Their information will be mapped as follows:

  1. Amanda Payne populates the Person 1 fields.
  2. Jane Smith populates the Person 2 fields.
  3. Sam Jones populates the Person 3 fields.

The same logic applies to products. The order of the products in the Pipedrive deal determines which information populates the Product 1, Product 2, and Product 3 fields.

Custom fields

You can create custom fields in Pipedrive and map them to your Oneflow contracts in the same way as default fields.

  1. In Pipedrive, go to Personal preferences - Data fields.
  2. Click + Custom field.
  3. Create the custom field under the appropriate object: Lead/Deal, Person, Organization, or Product.
  4. Save the custom field.
  5. Return to Oneflow settings Data Fields.
  6. Click Add data field.
  7. Select the appropriate Pipedrive object.
  8. Select your custom field from the data field list.
  9. Enter a unique Oneflow label.
  10. Click Sync to apply the mapping.

In Oneflow

Map data fields to your template

  1. Open the Oneflow template you want to configure.
  2. Open Data fields from the side panel.
  3. From the Playbooks dropdown, select the appropriate Pipedrive Playbook.
  4. Place your cursor where you want the data field to appear, then click Insert data field in the editor toolbar.
  5. Select the Pipedrive field you want to insert.
  6. Click Confirm.
  7. Repeat these steps for all fields you want to include.
  8. Publish the template.

When you create a contract from Pipedrive, the mapped data fields are automatically populated with information from the relevant Pipedrive record.

Delete a data field mapping

  1. Open a Deal, Organization, or Person in Pipedrive.
  2. In the Oneflow widget, click the three dots.
  3. Select Oneflow settings.
  4. Open the Data Fields tab.
  5. Find the mapping you want to remove and click the trash icon.
  6. Click Delete to confirm.
  7. Click Sync to apply the changes.

Troubleshooting

A Pipedrive field is not available for mapping

Confirm that:

  • The field has been created and saved in Pipedrive.
  • You selected the correct Pipedrive object.
  • You have administrator access in Pipedrive and Oneflow.

A mapped field is not available in Oneflow

Confirm that:

  • You clicked Sync after configuring the mapping.
  • The appropriate Pipedrive playbook is assigned to the Oneflow template.

Person or product information appears in the wrong field

Check the order of the people or products in Pipedrive before creating the contract. The first record populates the numbered 1 fields, the second populates the numbered 2 fields, and the third populates the numbered 3 fields.
