Overview of Data Fields

Pipedrive includes a set of default data fields that you can map to your Oneflow templates. These fields are managed within the template group of the integration that’s used in your Oneflow template.

NOTE

It’s not possible to create new custom data fields from Oneflow for an integration template group. You must create custom fields in Pipedrive and then map them manually. See Mapping Custom Fields for details.

PERMISSIONS REQUIRED

You need administrator access in both Pipedrive and Oneflow to configure data field mappings. Once the setup is complete, the mapped fields will be available to all Oneflow users in your account.

Default Data Fields in Oneflow

Pipedrive’s built-in fields, such as name, email, company, etc., can be directly mapped and transferred into Oneflow documents.

These fields are:

  • Available in the field dropdown when configuring a mapping.
  • Dependent on the object type (Deal, Person, Organization, Product).

Setting Up Data Field Mapping

To configure data fields, you need to follow the steps described below:

  1. Log into Pipedrive as an administrator.
  2. Open any Deal, Organization, or Person.
  3. In the Oneflow widget, click the three dots and select Oneflow settings.
  4. Go to the Data Fields tab.

You’ll now see a table showing all current mappings (or an empty list if none exist).

Add a New Data Field Mapping

Click Add data field to insert a new row. For each new mapping, configure the following:

  • Object: Select the Pipedrive object (Deal, Person, Organization, Product).
  • Data field: Choose the field from that object to map.
  • Oneflow label: Enter a name for the data field as it will appear in Oneflow.

Once you’ve configured your mappings, click Sync to apply the changes.

IMPORTANT

  • You can configure up to 150 data field mappings.
  • Fields from Person or Product objects can be repeated up to three times in a contract. Example: Mapping “Name” from the Person object creates Person 1 Name, Person 2 Name, and Person 3 Name in Oneflow.

Understanding Person and Product Mapping

Certain Pipedrive objects, like Person and Product, are special. When you map their fields, Oneflow creates numbered sets of data fields to handle multiple people/deal participants or products from a single deal.

The key to this mapping is the order in which the contacts or products appear.

How Person Mapping Works

When you map Pipedrive fields for a Person (like Name or Email), Oneflow creates corresponding data fields like Person 1 Name, Person 2 Name, and Person 3 Name.

The mapping for Person 1, Person 2, etc., is determined by the top-to-bottom order of contacts in the Participants list when you create the contract.

Example:

Imagine your participants are listed in this order in the 'Create Contract' window:

  1. Amanda Payne
  2. Jane Smith
  3. Sam Jones

The system will automatically map their data as follows:

  1. Amanda Payne → All Person 1 data fields (Person 1 Name, Person 1 Email, etc.)
  2. Jane Smith → All Person 2 data fields (Person 2 Name, Person 2 Email, etc.)
  3. Sam Jones → All Person 3 data fields (Person 3 Name, Person 3 Email, etc.)

This means the first person selected in the list will always populate the Person 1 fields, the second will populate the Person 2 fields, and so on.

A similar logic applies to Products, where the order of products listed in your Pipedrive deal determines which data populates the Product 1, Product 2, and Product 3 fields in the contract.

Mapping Custom Fields

If you want to transfer specific or personalized data, you can create custom fields in Pipedrive and map them in the same way as default fields.

  1. In Pipedrive, go to Personal preferences > Data fields.
  1. Click + Custom field to create a new field under Lead/Deal, Person, Organization, or Product.
  1. Return to the Oneflow settings > Data Fields tab.
  2. Click Add data field and configure the following:
    • Select the appropriate Object.
    • Choose your Custom data field from the list.
    • Enter a unique Oneflow label.
  3. Click Sync to finalize the mapping.

Delete data fields

  1. Log in to Pipedrive as an administrator.
  2. Open any Deal, Organization, or Person in Pipedrive.
  3. In the Oneflow widget, click the three dots icon and choose Oneflow settings, then navigate to the Data Fields tab.
  4. Locate the mapping you want to remove, then click the bin/trash icon next to it.
  5. In the confirmation prompt, click Delete to confirm.
  6. Finally, click Sync to apply the changes.
