Create a contract from Pipedrive

After completing the Oneflow application setup in Pipedrive, you need to create a Pipedrive contract template in Oneflow.

NOTE

Make sure you are logged in to Oneflow using the same email as in your Pipedrive account.

  1. Log in to Oneflow.
  2. Go to Templates in the workspace where you want to work.
  3. Click Create template to build your document Add the sections you want to include.

Once your template is ready:

  1. Assign it to the template group used for the Pipedrive integration.
  2. Click Publish to activate the template.
Now your template is connected and ready to use with Pipedrive!

You can use all active Oneflow templates with the Pipedrive template as a Template group to create contracts from Pipedrive deals, organizations, or people.

Create a contract from Pipedrive

Once you have completed all necessary setups, you can create your first contract.

To do this you need to head over to the object you would like to create the contract from.

INFORMATION

You can create up to 10 contracts per object (i.e. Deal, Organization, or Person).

Before you create a contract with your chosen object in Pipedrive, please ensure the following:

  • You have an active document template in Oneflow with the Pipedrive Template group.
  • If you are creating a contract from a deal, then ensure that the deal has at least one participant associated with it or an associated Organisation with linked contracts. If a participant does not belong to any organization in Pipedrive, you can only choose to create a contract by adding this participant as an Individual.
  1. Log in to your Pipedrive account.
  2. Open the Deal, Organization, or Person from which you want to create a contract.
  3. In the Oneflow app panel on the left pane, click the Create contract button.
  1. If you create the contract for the first time from your browser, you may get redirected to a new page with the following prompt. Click Continue to the App to proceed.
  1. Fill in Contract Details:

    Contract name (required): Auto-filled with the deal’s name, but you can edit it.
    Workspace: Choose the Oneflow workspace where your contract template is saved.
    Template: Select the Oneflow contract template you want to use.
    Contacts: Choose the contact(s) who will sign the contract.
    Type: Choose Organization or Individual depending on who is signing.
    Role in contract: Set each participant’s role – Signatory, Influencer, or Viewer.

    Once you fill in all required fields, the system will enable the Create Contract button. Click it to proceed.

  1. The system will direct you to your draft document once the contract is created, where you can edit it as needed. You are now ready to send your document.

Once the document is created you will be able to access it and follow its progress in Pipedrive.

Create a contract with products

Transfer products from Pipedrive to Oneflow

You can transfer products in Pipedrive deals to product tables in Oneflow contracts. A range of product attributes can be transferred from Pipedrive to Oneflow including tax on products.

INFORMATION

To transfer products from Pipedrive to a Oneflow contract, the contract template should have a product table added to it. See Creating a template with a product table to learn more.

  1. Navigate to a deal in Pipedrive.
  2. Ensure the deal has products added to it. You may add products to a deal by clicking the + Products button.
  1. In the Oneflow add-in, click on Create Contract. The contract creation page will open.
  1. Select a template with a product table, and select the contacts to add as participants to the contract.
  1. Click on Create Contract to confirm.
  1. Products will then be transferred to the product table in the Oneflow contract.

INFORMATION

  • If the products in Pipedrive are set to Tax Inclusive, then the taxed value of each product will appear in a separate row.
  • Only discounts in the product record will be transferred to the product table in Oneflow. Additional discounts (added through the ‘Add discount’ feature in Pipedrive) will not be synced to Oneflow.

NOTE

When transferring product information from Pipedrive to product tables in Oneflow, the visibility of price information depends on which columns are enabled/disabled in the product table of the contract's template.

  • If the Price 1 column is enabled and the Price 2 column is disabled, then the prices will appear in the Price 1 column.
  • If the Price 1 column is disabled and the Price 2 column is enabled, then the prices will appear in the Price 2 column.
  • If both Price 1 and Price 2 columns are enabled, then prices will appear in Price 1, but recurring products will be transferred to Price 2.
  • If both Price 1 and Price 2 columns are disabled, the prices will still be stored in Price 1 but not visible until the column is activated in the template.

The duration and duration unit fields will be deprecated by Pipedrive. Going forward, recurring products will use billing frequency and billing frequency cycles. Learn more.

When transferring product data from Pipedrive to Oneflow:

  • Products with billing frequency “one-time” will go to the Price 1 column.
  • Products with “annual, semi-annual, quarterly, monthly, or weekly” billing will go to the Price 2 column.
  • The quantity transferred = product quantity × number of billing cycles.
  • Oneflow will still support old duration fields; these products will be mapped to the Price 2 column.

NOTE

If a product has billing cycles set to “null”/automatic, the cycles will be calculated for a year:

  • Annual = 1 cycle
  • Quarterly = 4 cycles
  • Monthly = 12 cycles
  • Weekly = 52 cycles
