This article explains how to create, send, and track contracts through the Microsoft 365–Oneflow integration using Microsoft Word or PowerPoint.

REQUIREMENTS

  • Your Oneflow account must contain at least one workspace.
  • The template must be published and assigned to the Microsoft 365 playbook.
  • You must have permission in Oneflow to create contracts from the template.
  • You can use the Oneflow add-in in Microsoft Word or PowerPoint, on the web or desktop.
  • If you use the desktop version, save your document to OneDrive or enable AutoSave before using the Oneflow add-in.

In Oneflow

Create a template for Microsoft 365

  1. Open the workspace where you want to create contracts and go to the Templates tab.
  2. Click Create template to open the template editor.
  3. Build your template.
  4. Open the Data fields tab and select the Microsoft 365 playbook.
  5. Publish your template.

Edit a contract saved as a draft

If you select Save as draft in the Microsoft 365 add-in, the contract is saved under Documents in Oneflow. Sign in to Oneflow and open the contract to continue editing it.

Access the source document and audit trail for Word

When you create a contract through the Oneflow add-in for Microsoft Word, Oneflow creates an audit trail and adds two document links.

  1. Go to Documents in Oneflow.
  2. Select the document name to open the details panel.
  3. Under Document Links, select one of the following:
    • Source document: Opens the original document in Word for the web.
    • Audit Trail: Shows the versions synced from Word, including what changed, who made each change, and when.

You can also access these options from Collaboration, in the Chat tab, while the document is open in Oneflow.

In Microsoft 365

Create a contract

  1. Open Microsoft Word or PowerPoint, then create a blank document or open an existing one.
  2. Open the Oneflow add-in.
  3. Click Create Contract.
  4. Enter a name in the Contract name field.
  5. Select the Workspace and Template you want to use.

To continue editing in Oneflow instead, click Save as draft. Otherwise, continue with the steps below to add participants and send the contract from Word or PowerPoint.

Add participants

  1. Click + Add counterparty.
  2. Select the counterparty type:
    • Company: Adds a company represented by a participant. You can add multiple participants under the same company.
    • Individual: Adds a person as a participant.
  3. Complete the fields marked as required. The required fields depend on the selected Oneflow template.
  4. Select the participant's role:
    • Signatory: Can sign the contract.
    • Influencer: Can edit the contract.
    • Viewer: Can view and comment on the contract.
  5. Click Add counterparty.
  6. Repeat these steps for each additional participant.

To update a participant's counterparty details, click the three dots next to the participant and select Edit.

Send the contract

  1. Click Send.
  2. Enter a Subject and Message for the email.
  3. Click Send again to email the contract to the participants.

Track contract status

Click the View contract status icon to view and manage the contracts you have created or sent. After creating a contract from a document, you will be taken to this page the next time you open the add-in.

Open a contract in Oneflow

Click the three dots on the contract card and select View.

Delete a contract

Click the three dots on the contract card and select Delete.

Troubleshooting

  • Your workspace or template is not available: Check that your Oneflow account contains a workspace, that the template is published and assigned to the Microsoft 365 playbook, and that you have permission to create contracts from it.
  • You are using Word or PowerPoint on the desktop: Make sure your document is saved to OneDrive or that AutoSave is enabled before using the add-in.
  • You cannot finish adding a participant: Make sure all required fields are completed. These fields depend on the selected Oneflow template.
  • You cannot find a contract saved as a draft: Sign in to Oneflow and look under Documents.
