Export documents and document data

  • Export the entire account.
  • Export within a workspace.
  • Export within a folder.
  • Export through Global Search (select workspaces).

If you wish to dig deeper into your Oneflow statistics, you can export your document data in the following ways:

What information can I see in a excel export?

When you export document data from Oneflow, you'll receive a folder that includes:

  • Folders for each of your workspaces
  • An Excel file with detailed information about your documents
  • PDF copies of your documents.

Export limits for PDF documents and attachments

When exporting documents, the available output depends on whether PDF documents and attachments is selected in the export request.

Without PDF contracts and attachments selected
The export will include up to 1000 documents in a single Excel file.
This option is recommended if you only need contract data, as it provides a faster export and a single, consolidated file

With PDF contracts and attachments selected
The export will include up to 200 documents per Excel file.
Each export will also include the corresponding PDF files and any attachments.

By allowing exports without PDFs and attachments, it is now possible to generate larger Excel files in one go. This improves performance and simplifies data handling, especially for users who only need the Excel data.

If PDFs and attachments are required, they can still be included by selecting the option, with an adjusted limit to ensure a smooth export process.

  • Form fields – Form inputs collected through your documents
  • Attachments – Files that were attached to the documents
  • Messages – Collaborations within the document
  • Tags – Any tags you’ve used to organize your documents

Export entire account 

INFORAMTION
To be able to export documents and data, you need to have the right account permissions
  1. Go to Admin > Data management.
  2. Click on Export account.
  3. Tick/untick the data you wish to export and click Request export.

The system will send files to your registered email address containing all information. 

Export within a workspace 

In order to export data within a workspace you will need to have the right workspace permissions

  1. Select workspace > Go to Documents.
  2. Filter out the document you wish to extract data from (optional).
  3. Click on Export button in the top right corner.
  4. Tick/untick the data you wish to export > Click Request export.

The system will send files to your registered email address containing all information. 

Export from folders

In order to export data within a workspace you will need to have the right workspace permissions

  1. Select a workspace > Go to Documents > Select a folder.
  2. Filter out the document you wish to extract data from (Optional).
  3. Click on Export button in the top right corner.
  4. Tick/untick the data you wish to export >  Click Request export.

Export from global search

export from global search lets you export data from all workspace you have access to.

  1. Go to Global search.
  2. Filter out the document you wish to extract data from (Optional).
  3. Click on Export button in the top right corner.
  4. Tick/untick the data you wish to export > Click Request export.

The system will send files to your registered email address containing all information. 

Export user information and access (admin only)

  1. Click Admin > Users.
  2. Scroll down to the bottom of the page > click on the Export button.
  3. Click Request export.

The system will send an Excel containing more details.

INFORMATION
When an export is performed, it will be visible in the audit log  with information which user has performed the event. 

Export from AI Insight

  1. Go to documents > click on tab AI Insight
  2. Scroll down to the bottom of the page > click on the Export button.
  3. Click Request export.

The system will download an Excel containing more details.
