Looking to refresh a document without starting over? Replace Document helps you transition to a new version while preserving the original data, so you can make updates smoothly and stay on track!

Enable Replace document

  1. To activate the Replace Document feature, go to Marketplace > click on Replace document > click on Enable.

How to Replace a Document

NOTE
Before using this feature, make sure that:  

  • The original document is connected to a playbook (previously "template group").  
  • The replacement template is Published and belongs to the same playbook, so the document’s data can be preserved.

Here is how you do it:

  1. Go to Documents and open the document to update.
  2. Click on the action menu > Replace.
  3. Select the new template > Confirm.
  4. Done!

If the replacement template doesn’t have data fields mapped in the template yet, that’s okay. As long as the template is connected to the same playbook as the original document, you can add and map the data fields afterward—and the document’s existing data will populate automatically.

TIP
For an even smoother transition, pre-map the data fields in the replacement template. This ensures that the data flows effortlessly from the old document to the new one during the replacement process. 
IMPORTANT
Replacing a pending document doesn’t automatically send a new version to the counterparty, and it doesn’t remove the original document. To avoid confusion, or the risk of someone signing the wrong document make sure to either move the original document to trash or mark it as declined.

Linked documents

When you replace a document, Oneflow creates a new draft and automatically links the documents to each other. You can view the link in the document details panel under Document Links.
