Deactivate and activate users

If a user should no longer be able to access the Oneflow account, an administrator can deactivate the user.

INFORMATION

  • An inactive user will no longer be able to access Oneflow.
  • All documents and templates created by the inactive user will remain in the document archive.

Good to know

Before you deactivate a user, make sure you check their documents to see if there are any drafts or pending/overdue documents that need to be delegated to another colleague.

  • Drafts or documents that are Pending or Overdue will be left as they are in the document archive, but if the user is the only participant on your side it is best if you click Add colleague in the document and invite a colleague to take over the process. Read more here.
  • Signed documents will always be left in the document archive, and you can search for them as usual. The only difference is that there will be a notice saying the document is unavailable for the user you just removed.

How to deactivate a user

  1. Go to Admin > Users.
  2. Click on the action menu > Deactivate.
  3. Confirm your choice >  Deactivate.

The user will then be marked as Inactive in the user list.

Activate an inactive user

  1. Go to Admin > Users.
  2. Filter on inactive users.
  3. Click on the action menu > activate > Confirm.
